Executive Director of Operations (EDO)
Matrix Group, Inc. is seeking an experienced commercial real estate professional to join its executive leadership team.
Matrix Group is a privately owned, full-service commercial real estate company based in Denver, Colorado. Since 1994, Matrix Group has provided comprehensive real estate services to investors, brokers, and tenants across all classes of non-residential property. Matrix Group’s mission is to provide outstanding acquisition & sales, leasing, property management, property maintenance, and tenant finish services to its investors and tenants, while having fun.
The EDO will report to Matrix Group’s President and is responsible for the efficient, effective, and coordinated actions of the departments under the EDO’s control. The EDO must be a natural leader, possess executive management skills, and be capable of integrating the functions of the company to execute its mission of providing exceptional customer service and support functions for its tenants. Upon achieving demonstrated success as the EDO under the guidance of the President, this position has the opportunity and potential to evolve into a senior leadership role reporting to the Matrix Group board and investor group.
Position Requirements
- Highly motivated entrepreneurial executive with exceptional business acumen, sales/negotiation skills, and market awareness
- Strong leadership skills with an ability to build and manage high-performing professional teams
- Critical thinking capabilities based on data and information to arrive at effective decisions
- Demonstrated accounting and finance knowledge in the field of commercial real estate property management
- Proficient communication skills, demonstrating the ability to effectively and professionally communicate both verbally and in written format, including letters and emails, in a clear, concise, and grammatically correct manner
- Familiarity and comfort using computer programs such as the Microsoft Office 365 suite, including spreadsheets, word processing, and team collaboration applications
General Operational Responsibilities
- Direct and oversee all property operations, including property management, property maintenance, and accounting
- Lead and manage personnel in departments reporting to the EDO, including the creation and implementation of professional growth and development plans for individuals reporting to the EDO
- Review and refine department structures, processes, and systems as needed for continual improvement and efficient functioning of the company
- Oversee process improvement projects for all Matrix Group property operations departments, including the discovery, implementation and ongoing use of software, automation, and third-party services
- Organize, implement and evaluate Matrix Group’s fiscal function and performance by assisting the President and Controller with preparing and monitoring the annual budget
- Communicate with the President regarding plans, strategies, tactics, and status of all Matrix Group initiatives in progress
- Participate in coordination meetings and provide monthly reporting of property management activities to the President
- Develop and provide accurate and complete quarterly investor letters regarding property performance
Matrix Group Services – Department Oversight
- Lead the development and implementation of business plans and strategies for operations of the properties
- Oversee Office Management (OM)
- Annual OM budget
- OM vendor relations and contracts, and invoice approval and payment
- All Furniture, Fixtures and Equipment (FFE) associated with Matrix Group’s office
- All Information Technology (IT), software and hardware used in Matrix Group office operations
- Oversee Property Management Department
- Property budgets, Common Area Maintenance (CAM) reconciliations, and expense management, to maximize recurring net income
- Tenant interactions, rent payments, lease assignments, subleases, commencements and terminations
- Property vendor/contractor relations and contracts, and invoice approval and payment
- Property Management software
- Property insurance claims
- Quality assurance for all Property Management activities
- Oversee Property Maintenance Department
- Tenant improvements and vacancy projects
- Capital improvements in which Property Maintenance team assists in implementation of Asset Management’s capital improvement plans
- Miscellaneous maintenance issues and projects as determined with President and Asset Manager (AM)
- With President’s approval, review and approval of Director of Property Management’s (DPM’s) and Maintenance Technician Team Lead’s (MTL’s) recommendations for improvements, repairs and/or maintenance enhancements for all vacancies, to best present the buildings and maximize the successful marketability and leasing of the properties
- Oversee Accounting Department
- Invoice processing and approval, property budgets and lease accuracy reviews
- Monthly and year-to-date financial reviews and variance analyses, to manage financial performance of the investment properties
- Matrix Group monthly financial reviews with President and Controller
