Controller
Main Purpose of the Job
The Controller is responsible for overseeing financial activities and operations for Matrix Group, Inc. (MGI) (i.e., the property management company and building portfolio), including day-to-day core accounting as well as macro analysis of performance measures. The majority of the role will focus on the production of periodic financial reports, maintenance of an efficient system of accounting records, and a comprehensive set of controls and budgets designed to mitigate risk, enhance the accuracy of the company's reported financial results, and ensure that reported results comply with generally accepted accounting principles.
Duties
Core Property Accounting
- Execute all day to day accounting in Yardi Voyager (experience in Yardi Voyager required)
- Complete all accounts receivable entries for tenant checks
- Approve and process vendor invoices (checks are cut & mailed offsite by Yardi)
- Execute all monthly recurring & one-off journal entries
- Complete month-end/year-end bank reconciliations and compile financial packets
- Support PM team with annual budgets and CAM reconciliations
- Maintain adequate bank balances and closely monitor cash flow positions
- Calculate & post management & admin fees, time sheet, depreciations
- Ensure monthly mortgage/loan payments & property taxes are paid on time
- Negotiate the procurement of debt, and maintain required financial arrangements
- Help lead the monthly financial review meeting, providing perspective and recommendations on variances
Corporate Accounting
- Process Payroll
- Pay checks & balance company’s bank account
- Prepare Profit-Sharing Plan schedule at the end of each year
- Oversee administration and financial reporting of MGI’s Savings and Retirement Plan
- Oversee company’s budget & advise on equipment & furniture purchases
Systems Assessment & Improvement
- Report financial status by developing forecasts, reporting results, analyzing variances, understanding liabilities and making suggestions for improvements
- Analyze organization operations & use knowledge of industry norms & trends to identify opportunities for cost reduction and systems enhancement to deliver MGI financial strategic objectives sustainably
- Assist with Yardi Voyager rollout and drive new accounting implementations to improve efficiency
Other
- Obtain & present annual property insurance bids to President for final approval
- Develop and maintain systems of internal controls to safeguard MGI’s financial assets
- Oversee coordination with and activities of independent auditors, ensuring all issues are resolved with federal, state and other required schedules and information
- Comply with, interpret, and monitor compliance of all financially related legislative and programmatic rules and regulations to ensure compliance with all federal, state and local guidelines
Assist as needed with acquisitions & dispositions

Office Administrator
Main Purpose of the Job
Responsible to: President
The Office Administrator plays an integral role in supporting the operations of Matrix Group, Inc. (MGI). Responsibilities range from the organization and coordination of office operations and answering and routing calls, to providing support on specific projects for various departments.
Duties
Financial Responsibilities
- Achieve financial objectives determined by MGI Executive Director of Operations (EDO) / Direct Supervisor (DS) and President
- Adhere to an annual Office Management (OM) budget for the following OM-related expenses:
- Computer expenses (i.e., equipment, tech support, and non-property-management software)
- Office expenses (i.e., answering service, entertainment / meals, equipment leases, maintenance, groceries, postage / delivery, supplies)
- Telephone expenses for office phones (i.e., basic service, technical support, equipment replacement)
- Approve, code and track MGI OM invoices, and route to the Controller for payment
- Mail signed checks in Controller’s absence
- Track all MGI credit-card purchases, reconcile with monthly credit-card statement, and route to Controller for payment
- Monitor, analyze and report OM-budget variances and initiate corrective action(s) when needed to reduce variance(s)
- Request regular Accounts Payable/Accounts Receivable (AP/AR) reports from the Controller to ensure adherence of OM budget to the MGI General Ledger
- Coordinate OM vendors, perform cost comparisons, and monitor task performance and adherence to estimate
- Track company assets and provide the Controller information needed to manage assets
MGI Office-Operation and Office-Procedure Responsibilities
- Organize and perform tasking to fulfill front-line responsibilities for incoming interactions with MGI
- Answer or ensure coverage of calls coming in via MGI main phone line, OM’s line and MGI General Mailbox
- Complete the first business day after receipt
- Collect incoming mail, date stamp, and distribute via personnel mail slots
- Complete the day of mail delivery
- Respond to or distribute company email inquiries, deliveries (e.g., courier service, FedEx, UPS), faxes, etc.
- Complete the day of receipt
- Accept deliveries (e.g., courier, FedEx, UPS, USPS, faxes) for tenants in MGI main-office building, notify executive tenants, and for non-executive tenants, notify Property Manager (PM)
- Complete the day of receipt, placing non-executive-tenant deliveries in PM’s office
- Answer or ensure coverage of calls coming in via MGI main phone line, OM’s line and MGI General Mailbox
- Provide administrative support where needed for different MGI departments
- Assist with filing & basic data entry
- Sending certified mail and UPS and Fedex packages
- During times of peak workload, assist with project management
- Coordinate and monitor answering service, and maintain and distribute monthly on-call procedure, coordinating with Maintenance Technician Team Lead (MTL) to determine Maintenance-Technician (MT) availability, as necessary
- Maintain MGI phone list and property list with ownership entities, fire life safety information etc
- Coordinate and troubleshoot IT issues, questions and concerns, utilizing vendor(s) where appropriate
- Ensure coverage of OM duties during all absences (e.g., away from front desk, and away from office), particularly incoming interactions (mail/phone/email) with MGI
- Coordinate with IT specialist to ensure daily backup of electronic data
- Create and maintain calendar notifications for MGI closures other than holidays, e.g., special events
- Maintain the physical condition of the office (e.g., furniture, equipment, plants, office finishes (paint, carpet, etc.)) and arrange for necessary repairs
Human Resources (HR) Responsibilities
- Order and stock main kitchen and break room with snacks and drinks
- Order meals for meetings, when not covered by meeting lead
- Perform and assist supervisors and the Controller with employee-exit processing
- Perform and assist supervisors and the Controller with new-hire orientation and office setup
- Maintain emergency contact information for employees and for consultants frequently on site at MGI office
- Plan and coordinate MGI holiday celebrations & special events
- Provide HR administrative support as needed
- Arrange for delivery of gifts (e.g., flowers) for OM vendors, and for MGI team members and immediate families (e.g., for illness, bereavement); assist MGI managers with gift arrangements for tenants and non-OM vendors, if needed
MGI Office-Efficiency Responsibilities
- Plan and implement MGI office systems, layouts, and equipment procurement
- Equipment Procurement
- Understand needs and limitations of systems and assist direct supervisor in collecting information and ordering equipment if needed
- Equipment Maintenance and Replacement Protocol
- Develop and maintain a system for meeting maintenance and replacement requirements for all equipment, including computers, phones, printers.
- Office Layout and Equipment
- Set up new personnel offices (procuring desks, chairs, supplies, etc.) and obtain necessary equipment
- Develop beneficial relationships and communicate with vendors to ensure best prices and service are available to MGI
- Arrange for the destruction, recycling, and/or donation of obsolete equipment
- Equipment Procurement
- Create and manage office filing systems
- Create and maintain Shared Data – Documents\Property filing structure
- Create and maintain MGI-operations files
- Ensure space and supplies for filing to meet needs identified by other MGI departments
- Manage storage of MGI archived files and arrange for annual shredding of files that are no longer needed
- Assist tenants with use of audio/visual tools in the Blvd 25 @ 1805 conference room
Miscellaneous Responsibilities
- MGI employees are responsible for reviewing and understanding MGI Policies and Procedures located in MGI’s Shared Data - Documents\MATRIX\P&P HANDBOOK folder

Maintenance Technician

Maintenance and Repair Responsibilities
- Perform required maintenance of all assigned properties as instructed by MTL, including the following:
- Light construction
- Light plumbing and electrical work - change light bulbs/ballasts/switches/outlets
- Maintenance of HVAC equipment including light trouble shooting as necessary
- Change filters and check thermostats (T-stats) in vacant properties when applicable
- Installation of “Best” Lock system (door hardware)
- Check sump pumps on properties where applicable
- General roof maintenance (debris removal, caulking, emergency repairs)
- Check for soffit damage for potential roof leak or roof drain leak
- Maintain properties in specific areas, such as exterior building cleanliness and signage appearance:
Interiors
- Main lobby and corridor ceiling tiles/carpet snags/runs
- Repair damage/replace as necessary and approved
- Monitor restrooms and perform necessary maintenance:
- Check for sewer gas, drainage, leaks, dripping fixtures, stocked inventory
- Check fire extinguisher tags monthly
- Check T-stats and Roof Top Units (RTUs) for good working order during daily/weekly site visits; this is especially critical during winter months
- Perform maintenance of all vacant suites per checklist
- Help monitor performance of vendor tasks such as landscaping, trash, recycling, and janitorial work
- Maintain cleanliness in building maintenance office, phone utilities room, and electrical rooms
- Address issues at properties on snow/inclement weather days as directed
- Provide inventory control for all supplies stored in maintenance office, such as cleaning supplies, light bulbs, ceiling tiles, door knob, plumbing supplies, etc.
Fulfill additional duties which may require physical labor capabilities, including but not limited to the following:
- Shoveling snow
- Lifting or carrying equipment of various sizes
- Standing, bending, or walking for long periods of time
- Working outdoors in a variety of weather conditions
